A common item that comes up with Right To Work checks is a discrepancy between the current name of the employee and the identity documents submitted. Most commonly, a birth certificate with a different family name to the submitted photo ID, as a result of marriage.
vSure allows employers to collect proof of name change documentation, in the form of a marriage certificate OR any other evidence of name change.
Collecting Proof Of Name Change
Self-Onboarding Review
The most common situation starts with a Self-Onboarding Review.
The Surname submitted does not match the identity document.
The chances are that Alexis in this case, has changed her name. We're going to accept her documents so that the onboarding process isn't held up, BUT we will request another document from her for our records.
Request Document from Employee/Contractor
Once an employee onboard Review has been accepted per above, they will now have an employee record (whether Current or Prospective status).
To request Proof of Name Change, navigate to the employee/contractor's file:
Employee / Contractors | Current (or Prospective) | Click on the employee
Then go to the documents tab and Select "Request Document"
From the dropdown you can select either Marriage Certificate or Change Of Name and then Proceed
The system checks that the employee has a mobile number and/or email address to send the request to.
Proceed
You can then edit the email/SMS that is sent to the employee/contractor explaining what you need
When you hit send, you will get the confirmation message. Simply Close to continue.
This request goes into the standard "Self-Onboarding" process. That is, it will sit in Awaiting Staff Details until the employee submits the necessary documents. At which point they are reviewed and can either be rejected or accepted.
