There are various options for uploading Visa Holders into vSure, outlined in this article here.
You can also start by exporting the existing staff from vSure into Excel, pre-formatted for uploading back into vSure once you have made changes. See this article.
One use case is a bulk upload from your payroll or HR system as a Add, Update and Offboard into the Current Visa Holder's screen.
This will:
- Add any new employees, in the upload that are not currently in vSure;
- Update any existing employees, with any new details being uploaded;
- Move any Visa Holders that are currently in vSure and marked as Current to Previous, if they are missing from the upload.
- Move any Visa Holders that are currently in vSure and marked as Previous to Current, if they exist in the upload.
Typically, an employer might upload all non-terminated employees (i.e. exclude terminated staff). This can be a handy way to manage off-boarding of terminated staff (moving from Current to Previous status in vSure, those employees "missing" from the upload).
Download the MS Excel Template
Use the Excel template, which can be found in vSure:
- Select the Employee / Contractors tab
- On the Current sub-tab,
- Click the dropdown arrow next to Add New button
- Select Import CSV Data
5. Select the "Import Sheet" hyperlink in the "1. Download the Import Sheet" section.
Ensure the Passport Number field is formatted as Text
Once you have the details in the Excel file.
Be care to ensure the Passport Number column is formatted as Text (so as any leading zeros on Passport Numbers are not dropped by Excel):
1. Select Column I - Passport Number
2. Right Mouse Click and Select "Format Cells..."
3. Select Format As Text
Repeat these steps in Excel, if your employee ID can also have a leading zero.
Importing into vSure
In Excel, File | Save As and save as a CSV file.
Do NOT delete the instruction rows at the top of the worksheet.
DO NOT open the CSV file in Excel after saving (you will lose the leading zeros on employee codes and Passport numbers), simply log into vSure:
- Select the Employee / Contractor tab
- on the Current sub-tab,
- Click the dropdown arrow next to Add New button
- Select Import CSV Data
5. Select the Add, Update and Offboard option
6. Choose file and choose the file you saved at 2
7. Import Data
