This article covers the scenario in which you already have the proof of work rights details for your employees/contractors - vSure offers the ability to upload staff en masse from Excel/CSV.
If you don't already have Right To Work documents - use this method Trigger Self-onboard from CSV Upload to bulk send SMS and/or Emails to staff to collect their Right To Work documentation.
Download MS Excel Template
You can download the MS Excel template by going to:
- Employees/Contractors tab;
- Current Visa Holders sub-tab;
- Clicking the down arrow next to Add New;
- Select Import CSV Data;
Click the "Import Sheet" hyperlink in the Step "1. Download the Import Sheet" to download the MS Excel template.
Follow the steps as detailed.
NOTE: Mandatory fields include:
- GivenName
- Family Name
- DOB
- DocumentType
- Country
- If Document Type = Passport or Immicard or DFTTA etc, then Document Number is mandatory
- If Document Type = Birth Certificate or Citizenship Certificate, country must be Australia
Also, we strongly recommend specifying the Employment Status (Current, Prospective or Previous) and Start Date (as this affects visa expiry date for 417,462 and 482 visa holders).
If you are updating existing staff, then we strongly recommend including the KeyID.
You have the choice of specifying whether the upload contains ALL of your active employees/contractors or not:
Full Update = No
The upload will add from the import, any uniquely new Employees/Contractors;
AND will update any existing employees/contractors in vSure and the upload where details such as location, group, DOB etc may have changed.
Full Update = Yes
Means the same as No, BUT anyone in vSure, not found in the upload, will also be moved to Previous status.
