vSure offers a mobile/tablet optimised workflow for quickly and easily onboarding new Employees/Contractors.
NOTE 1: the workflow varies based on your set-up options. Specifically:
- Do you collect a photo of the candidate/employee? See this article.
- Do you collect additional information from Student Visa Holders per the 8104/8105 obligations? See this article.
NOTE 2: if you login to vSure from a web browser (such as Chrome or Safari) on a touchscreen mobile device such as a tablet or smartphone, you can use the device camera to snap a photo of the key documents (such as passport). In the case of the passport, vSure will automatically strip the data from the passport and populate the name, date of birth, passport country, passport number and document type fields.
You can use the Employer Onboarding Wizard from any device with access to the internet via a browser.
1. Login from any device
Simply go to https://www.vsure.com.au/login and log in.
2. From the Dashboard, click the "Employer Onboarding Wizard Shortcut
3. Step through the questions
The workflow is designed for a touchscreen and big thumbs, but works equally as well on any device with a mouse.
3A. IF Non-Citizen
To snap a photo of a document or person (or upload from a file), click/tap anywhere in the area relevant to the document type. E.g. Passport:
On a a smartphone or tablet device, you'll be given the option to choose a file OR snap a photo with the integrated camera.
On a PC or Mac, simply upload the pre-scanned image of the document.
If it is a passport, vSure will auto-populate the relevant fields below.
Hit submit to move to the next screen
3B. IF Citizen
Australian Citizens are given the following choice to prove their citizenship:
- Birth Certificate + Photo ID;
- Citizenship Certificate + Photo ID; OR
- Australian Passport;
This means 1 or 2 screens for taking a photo of or uploading the necessary documentation:
- IF a passport is uploaded, the workflow skips to step 5 below.
- IF Birth Certificate or a Citizenship Certificate is uploaded, Photo ID is required and an additional screen appears:
Once the Photo ID is uploaded, the Citizen workflow skips to step 5 below.
4. Additional information from student visa holders is an optional setting
4A. Student Visa Holder?
If switched on you will be asked:
- Do they hold a "Student Visa"?
- IF No - the workflow moves to point 5.
- IF Yes - they are requested to provide:
- A copy of their Confirmation of Enrolment document showing their course start date and level.
- Course Start Date;
- Level of the course
4B. Primary or Secondary visa holder?
"Are they the Primary or Secondary visa holder"?
- If Primary, the workflow moves on to point 5.
- If Secondary, the workflow requests "Proof Of Relationship" to the person listed on the CoE documentation (as per the 8104 requirements)
5. Taking a photo of the Employee/Contractor is an optional setting
If switched on you will be asked for a photo of the individual (as evidence the ID document matches the person presenting themselves for work).
6. Onboard Complete.
You can trigger a work rights check on the spot for for non-citizens
Just select "Run Visa Check". Note, the check will otherwise be automatic, on a 10 minute cycle.
Else you can add another by hitting "Add New Employee/Contractor"
OR switch back to vSure by clicking "Update / Check Existing Visa Holder".
