New data collection for satisfying student visa conditions
The 8104 and 8105 Student Visa conditions require additional information to be collected from the candidate in order to know the date at which the student's course commences and thus also employment rights.
Note the highlighted details from the Home Affairs website:
In order to further streamline the on-boarding process, we have now introduced the option to collect additional information relating to Student Visas in the Employee/Contractor file as well as during the on-boarding wizards (Employer, Email and SMS).
Additional fields in the Employee/Contractor file and grid view
The following new fields will be found in the employee/contractor file AND the standard list view:
- Applicant Type - Primary or Secondary (this can be entered, but ultimately comes from the visa check);
- Course Start Date - The date the student commences their course, noting per above, they cannot commence employment before this date
- Course Type - this is to determine with the 40 hours per fortnight restriction applies and the options are from the following list:
- Masters/PhD by research
- Masters by coursework
- Bachelor/Graduate
- Diploma/Graduate Certificate
- Diploma/Certificate I,II,III,IV
- ELICOS (English studies)
- Other
Additional Document Types
The options for documents that can be attached to the Employee/Contractor file now includes:
- Confirmation of Enrolment;
- Visa Grant Letter;
- Relationship Registration; and
- Other
The list already included:
- Marriage Certificate
2 New Optional Account Settings
You can now add the collection of the additional student visa documents to the on-boarding wizards - both the Employer Wizard and the Self-Onboarding (via Email or SMS) wizard:

You can change either or both of the new setting from No to Yes:
- Use Student Visa Collection In Onboarding Wizard
- Use Student Visa Collection In Email / SMS Onboarding Wizard
Select Save when done.
Additional screen(s) for Non-Citizens
You will now have an additional workflow (1 or 2 screens) appear in the Non-Citizen workflow ONLY.
First (note the pronoun changes depending on whether the employer or employee (Email or SMS option) is completing. In this case its the Employer Wizard and the pronoun is they (rather than you):
IF the the answer to "do they/you hold a student visa?" is NO, the workflow continues to the next stage, which is either (depending on your options), a photo/selfie OR the final "thank you" screen.
IF the answer is Yes, then the screen expands:

IF the answer is Primary, the workflow continues to the next stage, which is either (depending on your options), a photo/selfie OR the final "thank you" screen.
IF the answer is Secondary, the screen expands:
New SMS for CoE button on Documents Tab
For collecting a copy of the CoE and the additional Student visa data (including the Secondary Proof of Relationship document) from someone already in vSure showing the have a 500 - Student Visa, we've added a button to the "Document Tab" against the Employee/Contractor - SMS for CoE.
NOTE: You will need the employee's mobile number in their file for this button to appear.
An option to Email the request for CoE, will come in a subsequent release.
