White-Label (multi) account holders will note that there is a report at White-Label level report (Reports | Duplicated Visa Holders) that flags duplicate employees/contractors based on matching Given Name, Family Name and Date Of Birth:
The issue is this check is AFTER the fact and doesn't actually warn or prevent the duplication from occurring.
By default each vSure account/dataset checks and warns for duplicate employees within the same account/dataset. These duplicates warnings are triggered by:
- The same Passport Country and Passport Number; or
- The same Given Name(s), Family Name and Date Of Birth;
Users of Multi-Account vSure (aka vSure White-Label) are able to switch on a similar function ACROSS all datasets within the White-Label.
This feature is switched OFF by default and must be switched on. To do this, you must be an administrative level user at White-Label level.
At the White-Label Level go to My Account and Edit the My Account Settings:
Change the setting for "Check Duplicated Employee Across subaccounts" to Yes and Save
Close the dialogue box and you're set-up and ready to go:
Your account will now check and warning for duplicates across sub-accounts including:
- The same Passport Country and Passport Number; or
- The same Given Name(s), Family Name and Date Of Birth;
Examples:
1. Employee / Contractors | Add New
Adding new employee with matching Given Name(s), Family Name and DOB:
vSure will highlight the Duplication and provide a name of the other account (in this case "Client A") where the employee is already set-up:
Note: these are warnings and can be ignored by hitting the Add anyway button, noting vSure does track WHO chose to ignore the warning if this does breach your company policies.
2. Adding Duplicate Passport
vSure will check if the same Passport Country + Passport Number exist across all sub-accounts and will highlight the Duplication and provide a name of the other account (in this case "Client A") where the passport is already set-up:
3. New Onboard using the Employer Onboarding Wizard
vSure will check if the same Given Name(s), Family Name and DOB AND/OR Passport Country + Passport Number exist across all sub-accounts and will highlight the Duplication and provide a name of the other account (in this case "Client A") where the duplicate(s) already exists:
4. Import from Passport Scan (Employees / Contractors | drop-down beside Add New | Import from Passport Scan)
vSure will check if the same Given Name(s), Family Name and DOB AND/OR Passport Country + Passport Number exist across all sub-accounts and will highlight the Duplication and provide a name of the other account (in this case "Client A") where the duplicate(s) already exists:
